Recorded Documents

Recording fee for Deeds, Mortgages, Satisfactions, Termination of Decedent’s Interest, etc.

• $30.00 (Flat fee regardless of the number of pages)
• Additional Transfer Fee may be due after completion of the Wisconsin Real Estate Transfer Return 

Documents will be sent to the Return Address on the document after it has been recorded.

Maximum size sheet: 8 ½ “ x 14” Black and White.

Document must meet requirements governed by Wisconsin Statutes – See Standard Document Format for details.

Document Copies and Certified Copies

Copies of recorded documents are available in our office or by mail (paid in advance). They are also available online through Tapestry - additional fees apply.

• $2.00 first page
• $1.00 Additional pages
• $1.00 additional for a Certified Copy

Plats

• Subdivision, Cemetery and Condominium Plats are $50.00 regardless of the number of pages.
• Recording fee for Transportation Project Plats (TPP) is $25.00 per page.
• Plats are 22 X 30" in size except for Condominium Plats which are 14 X 22".

Filed Documents

Lis Pendens (can also be recorded), Writ of Attachments and filed documents for which no other fee is specified in Wisconsin Statutes:

• $30.00 (Flat Fee regardless of the number of pages)
• Copies of filed documents are $2.00 for first page and $1.00 each additional page, plus $1.00 for the certificate if a certificate is requested.

Uniform Commercial Code Information

On June 12, 2001, the Wisconsin Legislature passed Senate Bill 9, which is Revised Article 9 of the Uniform Commercial Code. The bill was signed on Friday, June 22, 2001 by Governor McCallum and became law effective July 1, 2001.

As of July 1, 2001, all states will have central filing offices. Ours will be the Department of Financial Institutions, Division of Corporate and Consumer Services.

Realty-related (or fixture) filings are to be filed at the local register of deeds office only.

The fees for realty-related filings are $30.00 (flat fee regardless of the number of pages). An original financing statement, amendment (which includes continuations, partial releases, or terminations) are considered separate instruments.

Standard Document Format

If you wish to record legal documents affecting real estate such as deeds, land contracts, mortgages, satisfactions and assignments, you need to use a form which conforms to the Wisconsin Standard Document format implemented September 1, 1996. If your document does not conform, you may add a Cover Sheet to the front so that it becomes the first page. Print or type the document title, return address and Tax ID number and attach the cover sheet.

Document Preparation Checklist

• The upper right hand corner must be completely blank (at least 3" by 3") for our official recording stamp.
• The name and return address must be either (1) directly under the recording area, or (2) on the left side of the page and within the top 3 inches.
• The parcel identifier number must be placed directly under the return address.
• The title of the document must be within the top 3 inches of the page but not in the 3 by 3 inch corner left blank for our recording stamp.
• The entire document must be legible and reproducible.
• The paper is white, standard weight and letter or legal-sized.
• The ink is black so that the document will scan properly.
• The top margin is a minimum of 1/2 inch for every page. Other margins are minimum of 1/4 inch.
• The pages are not hinged.
• Complete legal descriptions if the document refers to specific parcels of land.
• Original signatures notarized or authenticated.
• Proper fees accompanying the document.
• Name of the document drafter.
• Wisconsin Real Estate Transfer Return (completed and with proper fee or exemption #) for deeds and land contracts.

Rock County began recording documents electronically in 2006. Currently about 63% of the documents we record are received electronically.

Electronic recording results in greater efficiency and better use of resources. It automates document examination, fee collection, and image retention. The benefits of electronic recording are recognized by financial institutions, title companies, government departments and law firms. Counties reduce manual processing effort associated with paper processing as well as reduce mailing costs.
